My name is Nathan Garcia and my company is called Pocket Planner Inc. We’re a successful group of businesses which span across a number of different sectors including software, training and coaching and business development.

This position of Executive Assistant is within Pocket Planner. The US leader within the Financial Software industry. Our business is the only, client-connection driven, ‘done for you’ financial plan in the US. We offer a results driven service, here to act as a trusted partner for individuals who know they could be seeing better results from their finances. We’re here to help as many proactive and positive small-medium business owners, who are committed and open to utilising our knowledge of financial planning. Because we’re looking for the best candidates for this position we don’t want your location to prohibit you from joining our team; that’s why we operate a distributed team model, so you have the opportunity to work remotely.

Main aim: To Support the Business and CEO

  • Manage all Incoming communications;
  • Manage all scheduling;
  • Oversee personal tasks;
  • Assist in maintaining relationships with staff, partners and suppliers;
  • Assist in Project Management across the group of businesses;
  • Pro-active organisation of complex and ever-changing work schedules;
  • Effective management of all written and email correspondence;
  • Taking care of travel arrangements, meetings, accommodation, events and personal diaries;
  •  Highlighting priorities and eliminating inefficiencies;
  • Drafting high quality written correspondence;
  • Liaising with staff, clients, and partners with confidence;
  • Ensuring all papers and working materials are available to attendees in advance of meetings or events;
  • Minute-taking during meetings, effectively capturing agreed actions and following up as required;
  • Personal dictation as required, as well as drafting and management of sensitive and confidential information in an appropriate manner;
  • Compile and present standard and ad hoc reports by interpretation, analysis and manipulation of data or information, including financial data, in accordance with detailed instructions;
  • Management of office facilities;
  • Lead and deliver on ad-hoc projects as they arise;

Required Skills

  • Experience within an administration role
  • Willing to learn new skills
  •  Ability to Prioritise and Organise Your Work – You must be able to think for yourself and be organised. We are very serious about this one. In order to learn and grow with our team, you must be very organised, be able to prioritise your work, and multi-task effectively.

  • Your attitude will be bang on. You’re an upbeat person who takes responsibility and you’ll know that ‘if it’s to be, it’s up to me’
  • You’ll be high energy, with enthusiasm oozing from every pore;
